Privacy Policy

Your privacy is important to us. We are committed to building relationships based on mutual trust. We ask that you register with us in order to download xTuple software. This privacy policy outlines exactly what we do with any information collected — whether you provide it directly or indirectly through "cookies" or other technology.

Collected Information

To better serve our users, people who register on our websites are required to provide certain contact information. You may be asked to give personally identifiable information: your company name, name, address, phone number, and business email address. For the purpose of billing commercial users or making purchases in our online store, you may be asked to provide financial information: billing name, billing address and credit card number. In addition, you may be asked to provide your company name, account password and number of users in the organization and who will be using our services. When you express interest in additional information, personalized demonstrations, or after you become a user, we may ask for additional information, such as title, additional company information, such as annual revenues, number of employees or industry. You may opt-out of providing additional information by not entering it when asked, if the field is not required. While logged into your account, xTuple users have the ability to provide us with third party personal information, such as name, business email address, phone number, street address and password.

Communication from xTuple

xTuple does not distribute or share any Customer personal information, unless we have your consent to share the information, except as may be required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order or legal process. xTuple uses the information collected to set up services for individuals and their organizations. We may also use the information to contact Customers and Prospects to further discuss their interest in our company, the products and services ("Products") we provide, ways we can improve, and to send information such as announcements of promotions and events regarding xTuple or our Partners. We may also send a Customer e-newsletter and/or updates about our Products or the company. You may opt-out of receiving these communications by following the unsubscribe instructions at the bottom of each communication, or at any time by contacting us. See below.

Correcting, Deleting and Updating Your Information

If your personally identifiable information changes, or if you no longer desire our Products, or wish to discontinue communication, you may correct, update, or delete your information by contacting us. See below. We will respond to your request within 30 days.

We will retain your information for as long as your account is active or as needed to serve you. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. All financial and billing information that we collect through an xTuple website is used solely to provide and bill for xTuple Products. xTuple does not use this billing information for marketing or promotional purposes, except as we explicitly stated above. We do not disclose the information provided to any third party.

xTuple has integration and referral relationships with third-party value-added reseller companies and individuals (“Partners”). These relationships extend the functionality of xTuple Products by allowing xTuple to exchange customer data with Partners and to establish linked business processes between the two. Customers who pay xTuple for use of the Products and use Partners are considered customers of both xTuple and the Partner. xTuple and Partners may share customer contact, account, financial and billing information, and business data with respect to their integrated business relationship with the customer. The sharing of this information allows xTuple and the assigned Partner to establish the identity of the shared customer and determine referral fees owed. This sharing also allows the Partner to provide consolidated billing services to the shared customer and allows for the enhanced functionality of the integrated service. Shared contact, account, financial and billing information, and business data is governed by xTuple license agreements.

xTuple uses third-party intermediaries to manage credit card processing and are solely links in the distribution chain. They are not permitted to store, retain, or use the information provided, except for the sole purpose of credit card processing.

Other third parties, such as content providers, may provide information on an xTuple website, but they are not permitted to collect any information, nor does xTuple share any personally identifiable user information with these parties.

xTuple customers use xTuple Products to host data and information. xTuple will not review, share, distribute, print, or reference any such data except as provided in xTuple license agreements, or as may be required by law. We will view or access individual records only with your permission (for example, to resolve a problem or support issue). Users of xTuple Products are responsible for maintaining the confidentiality and security of their user registration and passwords.

Tracking Technologies, Cookies and Other Browser Information

Technologies such as cookies, beacons, tags and scripts are used by xTuple. These technologies are used in analyzing trends, administering the site, tracking users’ movements around the site and to gather demographic information about our user base.

We use cookies for our shopping cart, to remember users’ settings (e.g., language preference) and for authentication when returning, for more personalized service. A cookie is a small amount of data that is sent to your browser from a Web server and stored on your computer's hard drive. Users can control the use of cookies at the individual browser level. If you reject cookies, you may still use our site, but your ability to use some features or areas of our site may be limited. When an xTuple promotion uses cookies, the information written to the cookie indicates the person's progress through the promotion and may be used to track entries, submissions and status in the prize drawing. We may use this information to better personalize the content, banners and promotions you and other users will see on our sites.

Our site automatically captures IP addresses, used to help diagnose problems with our server, to administer our website, and to help ensure the security of your interaction with the website. Your IP address is used to help identify you and your shopping cart.

Third Party Sites

Under confidentiality agreements, xTuple may match user information with third-party data. Also, xTuple discloses aggregated user statistics in order to describe our Products to current and prospective partners, advertisers and other third parties. Our websites and online applications contain links to other websites. xTuple is not responsible for the privacy practices or the content of these other websites. Customers and visitors must check the statement of these others websites to understand their policies. Customers and visitors who access a linked site may be disclosing their private information. It is your responsibility to keep such information private and confidential. If you have questions about the data collection practices of linked sites, please contact those companies directly.

Opt-Out Statement

xTuple offers you a means to choose how we may use the information you provide. If, at any time after registering for information or ordering our Products, you change your mind about receiving certain email communications from us or about sharing personal information with third parties, send us a request to opt-out from receiving promotional emails or from having your personal information shared with third parties. Customer Testimonials

We post customer testimonials/comments/reviews on our website which may contain personally identifiable information. We do obtain the customer’s consent prior to posting the testimonial to post their name along with their testimonial. If you wish to update or delete your testimonial, see below for contact information.

Surveys, Trade Shows and Contests

Our online surveys may ask you for contact information and demographic information. We may use data from our surveys to contact you or to allow appropriate Partners to contact you. We may also use demographic information to tailor your experience at our websites by displaying content we think you'll like. We occasionally administer contests on our site and at trade shows where we ask you for contact information, unique identifiers, and demographic information. We may use data from these contests and trade shows to contact you or to allow appropriate Partners to contact you.

Public Forums

Our websites may make chat rooms, forums, message boards and/or news groups available to our users. Please be advised that any information disclosed in these areas becomes public information and exercise caution when deciding to disclose your personal information.

Changes to the Privacy Policy

If we decide to change our privacy policy, we will post those changes to this privacy policy page, the home page, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances we disclose it. We reserve the right to modify this privacy policy at any time, so please review it frequently. If we make material changes to this statement, we will notify you here, by email, or by means of a notice on our home page prior to the change becoming effective.

Online Ordering Information

While you are shopping in our webstore, our site uses cookies to track your shopping cart and uses an order form for customers to purchase Products. To improve your experience, we collect contact information (including phone number and email address), unique identifiers, and financial information (such as your account or credit card numbers). Contact information collected from the order form is used to send orders and to communicate with you. You may opt-out of receiving these communications by following the unsubscribe instructions at the bottom of each communication, or at any time by contacting us. See below. PostBooks® User License Key Terms and Conditions

Using xTuple PostBooks® requires a software license key

xTuple created, maintains, supports, and continues to develop the popular free and open source software (FOSS) PostBooks® — an ERP+CRM / accounting solution used to run businesses worldwide. To maintain — and build upon — the software's integrity and high value, a license key is required for all users, and when license keys expire, the software will cease to function.

Companies who need one to four (1-4) concurrent users can qualify to receive a free license key with our compliments. Five (5) and more concurrent users are required to purchase a commercial software license. With a free key provided for up to four (4) users, the commercial PostBooks® license is priced accordingly, i.e., if you need five (5) users, your first four (4) are free and you only pay for one (1). If you need six (6), you'll only pay for 2, and so on.

PostBooks® Setup Service Terms and Conditions

Personalized set-up of the open source ERP xTuple PostBooks® Client-Server

Load-and-Go Service: Remote install of PostgreSQL and xTuple PostBooks® database

Using a live personal tutorial online, we will walk you through, step-by-step, how to setup the PostBooks® Edition Server, database and client. This service will take approximately one (1) hour and may vary depending on the end-user’s technical ability, speed and computer configuration. First, we’ll download the files needed, then navigate through the EnterpriseDB installer and lastly configure PostgreSQL using the GUI tool PGAdmin. At the end, we’ll test to make sure you connected successfully using the light xTuple Desktop Client.

The success of this service depends upon the following

  1. You have NO evidence of PostgreSQL already installed (or any remnants from a failed installation). If you DO, make sure to re-format or re-image your machine prior to scheduling the setup service.
  2. You’re using a modern machine with enough power, i.e., anything within the last four (4) years and four (4) gb of RAM should work, including Window’s 7,8,10, Mac OSX 10+, Ubuntu/Debian Linux variants.
  3. This is NOT an open-ended service engagement and only includes
    1. Guiding you through the steps of downloading the files you’ll need
    2. Guiding you through the EnterpriseDB installation of PostgreSQL
    3. Guiding you through configuration including loading of Quickstart, Empty and Demo databases of PostBooks®


xTuple University Training Credits Terms and Conditions

Effective September 2016, every annual Support Contract includes — at no additional cost — an allowance of Training Credits to be used for any regularly scheduled xTuple training offering. For every $200 spent (for both core ERP and xTupleCommerce Support Contracts, if applicable), earn one (1) Training Credit hour. Example: Spend $3600/year earns a free ticket to the 18-hour online ERP Basics class. Training Credits do not have a cash value. Training credits may be used only in the contract year in which they are earned and may not be carried over or transferred to another business entity. They may not be combined with other offers, promotions or discounts.

Order Submission

Orders may be submitted directly to xTuple via the online MarketPlace. Purchase Orders may be submitted by email or fax. See below.


Payments may be made via credit card, bank transfer or check, and we will agree upon the most convenient payment method with the customer during order execution. All purchase prices are shown in U.S. dollars, no tax included.

Taxes and Deductions

Product prices do not include any national, state or local sales, use, value added, or other taxes. Customer shall pay any such taxes, if applicable. Customer bears sole responsibility for any withholding tax liabilities, and no deductions shall be made by Customer from the amount payable under any xTuple invoice. Purchases from European Union ("EU") countries may be subject to the EU value added tax. Customers from the EU are responsible for providing a valid VAT ID, if any.

Product Delivery

xTuple ships no physical Products. Any details necessary to enable Customer to download and/or use the purchased Product (including license keys or access details where applicable) will be delivered by xTuple to Customer via email to an email address provided by Customer. Customer is responsible for providing xTuple with a valid email address for delivery purposes. No shipping costs are charged by xTuple for email delivery. xTuple will use its best efforts to deliver Product purchased by Customer within two (2) business days of the order acceptance. xTuple shall not be liable for any failure to deliver Product within this timeframe.

Security Policy

xTuple takes your financial security very seriously. The MarketPlace shopping cart is hosted on a secure Internet server with an SSL certificate from Thawte (www.thawte.com). During your transaction, all personal information is encrypted, including credit card number, name and address, so it cannot be accessed over the Internet. We do not store credit card numbers or card security codes after the transaction is completed.

Support Policy

Unless otherwise indicated, xTuple does not provide support for third-party products. For xTuple-licensed offerings, such as Extension Packages, consult the individual product listing for support options. xTuple does not provide regular helpdesk support on Packages loaded into an existing implementation of the free xTuple PostBooks® Edition. Bundles of premium support hours, i.e., implementation consulting and troubleshooting, are available for purchase. Please contact xTuple sales for more information.

End of Life Policy

xTuple provides commercial support for the past eight minor releases of the Software. Please contact xTuple support if you are running an unsupported release. Read more on xTuple Supported Versions.

Refund Policy

Unless otherwise indicated, all products on the xTuple MarketPlace are sold “as is” with no guarantees or warranty expressed or implied, and all sales are final.
